Systems Solutions Limited (“SSI”) recognizes the importance of maintaining the privacy, security and accuracy of personal information in accordance with the applicable privacy legislation.

At SSI we recognize the importance of protecting the personal information that we hold respecting our customers, suppliers, employees and others. Should you provide personal information by which you can be identified when using the website, you can be assured it will only be used in accordance with this Privacy Policy.

SSI’s Privacy Policy outlines the framework of SSI’s policies and procedures regarding its collection, use, retention and disclosure of personal information in respect of its customers and others.  

In the context of this Policy, the term “customer” includes all current, former and prospective clients.

SSI may change this Privacy Policy from time to time by posting an update to the Policy on our website. The policy that is posted to the website at the time of inquiry shall be deemed to be policy then in effect. Users are recommended to visit the website from time to time to ensure that they are satisfied with any changes. This policy is effective as of April 25, 2024.

What Do We Consider “Personal Information”?
We use the term “personal information” as it is defined in the Personal Information Protection and Electronic Documents Act, SC 2000, c 5 (“PIPEDA”). As such, for the purposes of this Privacy Policy, personal information means information about an identifiable individual, but does not include the name, title, or telephone number of an employee of an organization.

Why Does SSI Collect Information?
SSI collects personal information in order to provide our products and services to our customers and to service their accounts. In addition, as an employer we collect information to provide employment and human resources services and to comply with applicable government regulation.

We collect personal information in order to communicate with our customers and prospective customers in order to inform them about additional products and services or answering questions you may have.

How Does SSI Collect Your Personal Information?
SSI only collects personal information by lawful and fair means and only that which is reasonably necessary for the purposes identified.  Whenever possible, we collect personal information about customers and others directly from those parties or authorized agents or from referrals by individuals whom such parties have requested to provide us with specific information.

Sometimes we may obtain information about you from other sources including:

  • Government agencies and registries

  • Financial institutions and credit bureaus

  • Other third parties who represent they have the right to disclose such personal information

  • In the case of employees: medical professionals.


How Does SSI Use Your Personal Information?
SSI may use your personal information for the following purposes:

  • to provide our products and services (including SSI Web)

  • for invoicing, internal record keeping, customer contact and service matters

  • for account collection purposes

  • to manage and develop its business and operations

  • to develop or offer services and products tailored to those needs of current and potential customers and to communicate with customers regarding current and future products and services

  • to process transactions

  • to follow-up on customer comments and suggestions

  • for use as authorized/required by or under law, and

  • for any other purpose where your consent is provided.


Disclosure of Your Personal Information
SSI will only disclose your personal information for purposes related to providing its services to you, or with your expressed or implied consent, or if required or authorized by law.  For example, we may disclose your information:

  • when the services we are providing to you require us to give your information to third parties

  • to distributors for the purpose of providing our services to you

  • if we engage specialized consultants to assist us in providing services to you

  • where it is necessary to establish or collect an unpaid account

  • if required by law (i.e. Court order)..


Consent
We may obtain your consent to our collection, use and disclosure of your information either expressly, for stated purposes (such as service agreements), or impliedly when the purposes are not stated expressly, but are indicated by the relevant circumstances or which follow logically from other expressly stated purposes. You may withdraw or amend any consent previously given by contacting our Privacy Officer, Mr. John Evans, President, subject to any legal or contractual restriction and upon reasonable notice to us.

Your consent to our collection of certain personal information may be required in order for us to provide our services.  However, we will not require, as a condition of providing a service, that personal information not relating to providing such service be collected.

How We Use Cookies
A cookie is a small file, which asks permission to be placed on your computer’s hard drive. The cookie helps analyze web traffic or lets you know when you visit a particular site. Cookies allow web applications to respond to you as an individual. The web application can tailor its operations to your needs, likes and dislikes by gathering and remembering information about your preferences.


We use traffic log cookies to identify which pages are being used. This helps us analyze data about web page traffic to improve our app and website in order to tailor it to customer needs. We only use this information for statistical analysis purposes and then the data is removed from the system.

Controlling Your Personal Information
You may choose to restrict the collection or use of your personal information in the following ways:

 

  • Whenever you are asked to fill in a form on our mobile app or website, look for the box that you can click to indicate that you do not want the personal information to be used by anybody for direct marketing purposes

  • If you have previously agreed to us using your personal information for direct marketing purposes, you may change your mind at any time by writing to or emailing us at john.evans@ssiop.com.


We will not sell, distribute, or lease your personal information to third parties unless we have your expressed permission or are required by law to do so. We may use your personal information to send you promotional information about third parties, which we think you may find interesting based on your preferences.

Is My Personal Information Secure?
SSI uses appropriate security measures to protect against loss, theft, unauthorized access, disclosure, use or modification of personal information. Such measures will vary depending on the sensitivity, amount, format, nature and storage of the personal information and will involve, as applicable, physical, organizational and electronic security measures including premises security, restricted file access to personal information, technological safeguards including security software and firewall to provide unauthorized computer access, and password and security protection.

SSI requires that third party service providers to whom personal information may be transferred provide a level of security for information that meets the general standards as set by law.

We instruct our employees with access to your information that it is to be used only in accordance with the principles set forth in this policy.  Employees who misuse customer information may be subject to appropriate disciplinary action.

In communicating with us, you should be aware that e-mail is not a fully secured medium.

Access to Your Personal Information
You may request details of personal information, which we hold about you under the Personal Information Protection and Electronic Documents Act (PIPEDA). We will respond promptly to any request for access to your personal information. There will be no cost for reasonable request to such access, unless you request copies of records or your request involves significant retrieval costs. We will advise you of the cost, if any, prior to the retrieval of such records or information. SSI will not respond to requests for access to personal information that are frivolous, vexatious or repetitious.

In certain circumstances, we may be unable to provide access to some or all of the personal information that we hold about you. Such circumstances include those in which the personal information cannot be separated from the records of others, cannot be disclosed for reasons of personal security or commercial confidentiality (i.e. trade secrets).

How We Comply with Canada’s Anti-Spam Law
In accordance with Canada’s Anti-Spam Legislation (CASL), we may use your personal information so that we may send you commercial electronic messages (CEMS). Unless such messages are sent subject to exemption, we will obtain your prior implied or express consent in accordance with this legislation.
You may withdraw your consent to receive CEMs from us at any time by using the unsubscribe mechanism contained in all of our electronic communications.
We do not install or cause to be installed any computer programs on your computer system that requires your consent under CASL.

Correcting Errors
If we hold information about you and you advise us that it is not accurate, complete and/or up-to-date, we will take appropriate steps to correct it.

Website
Protecting your privacy is an important feature of our website. The general privacy principles set forth in this policy apply to our website.

You will not be able to access certain restricted areas of our website or download certain demonstrations without inputting your personal information. However, if you chose not to provide your personal information you will still be able to access many aspects of the website.

Our website may contain links to other sites, which are not governed by our Privacy Policy. On our website, as with other commercial websites, we may monitor traffic patterns, site usage and related site information in order to optimize our web service. We may provide aggregated information to third parties, but these statistics do not include any identifiable personal information.

SSI Web
Privacy is of utmost importance in providing our SSI Web to registered users. The general privacy principles as set forth in this Policy apply to our SSI Web. More particularly, registered users of this Service will be required to provide personal information in order to obtain access to the information on our server. Access to our server entitles you to certain information contained on that server and to protect against unauthorized use or viewing. SSI uses encryption and/or authentication tools and any other methods to protect personal information accessible from your web page.
